Fix a Repetitive Workflow | Seth Brand

Fix a repetitive workflow

Your tools should pass the work along.

Still copying orders into a spreadsheet, sorting the same documents, or chasing status updates? I connect the steps so your team can get on with the work.

Email-first. Remote across the US. Typical reply within 2 business days.

One useful change

Start with the step you repeat every day.

Order handoffs

Move confirmed orders into your production board and prepare customer updates without copying the same details twice.

Document review

Bring incoming files into a clear queue with source details, missing information, and a review step before export.

Status and reminders

Show who needs to act next and prepare reminders when a job or handoff gets stuck.

I first check whether your existing software can do the job. AI can help with messy text or documents; structured integrations may be enough.

Interactive demonstration

See what a reliable handoff should do.

These are fictional orders, processed only in this browser tab. No tools are connected, no messages are sent, and nothing is saved after a reload. This illustrates behavior we can scope for your business.

Needs attention

  • No exceptions yet.

Confirmation drafts

A demonstration is not a live integration or a client result. Real projects are tested against agreed examples, permissions, and failure cases.

What you receive

A working handoff you can understand and operate.

  1. Scope before the build. Agree on the trigger, tools, required information, and what counts as complete.
  2. A tested workflow. Check ordinary work, duplicates, missing details, access, and unavailable tools.
  3. Visible exceptions. Know what needs review and how to recover when something fails.
  4. Documented handover. Receive the agreed code or configuration, operating notes, and access in your own accounts.

Scope first, then price

Use the service that fits the job.

Small AI workflow: $499

A suitable project can fit the existing AI Jumpstart: one agreed input, one destination, testing, documentation, and handover. Fit is confirmed before payment.

See AI Jumpstart

Custom project: written quote

Several systems, a new staff interface, data cleanup, or migrations need a separate estimate and milestones. I identify third-party costs before you agree.

Describe the project

Ongoing AI support: $299/month

The existing AI Retainer may suit ongoing work. Supported systems, included effort, response expectations, and additional costs are agreed in writing.

See AI Retainer

The $99 AI Readiness Audit is available if you want a written assessment of where AI fits. The $1,500 Strategy Sprint is a roadmap, not a multi-system build. Compare all services.

A few things to know

Does the workflow have to use AI?

No. I recommend the simplest practical solution. If ordinary automation fits better, I explain that and quote the appropriate work. The AI audit keeps its existing published guarantee.

Will I have to replace my existing tools?

I start by reviewing the tools you already use. Any replacement, migration, or new subscription is a separate decision included in the written scope.

What happens if something fails?

We agree how failed actions are recorded, reviewed, and retried. The handover explains recovery and your support arrangements. Emergency coverage is not implied.

What is included after delivery?

The quote defines acceptance, revision rounds, defect support, ownership, and third-party costs before payment. New features and ongoing maintenance are scoped separately. See the workflow scope terms.

Describe the step you keep repeating.

Include your business name, the task, the tools involved, roughly how often you do it, and where it gets stuck. Please do not send passwords or customer records.

Typical reply within 2 business days. No charge for the initial fit reply. Technical discovery and build work are scoped separately.
